How to start print on demand on Etsy

Choose a POD product, check a physical sample, disclose your production partner, and prepare fulfilment for Etsy orders.

Start with the physical result you can deliver

Print on demand uses a production partner to make and ship an item after an order. On Etsy, the partner may produce your original design; disclose the partner on the relevant listings and follow Etsy’s Creativity Standards. The buyer is purchasing a physical item, not your artwork file.

Compare the exact product, not provider averages

For an original illustrated tea towel, compare the specific blank and print method you would order. Two products with the same name may differ in fabric, dimensions, printable area, and production location.

CheckWhat to record
Blank and print specificationMaterial, dimensions, printable area, required file settings
Fulfilment routeProduction country, supported destinations, estimated times
Per-order chargeProduct charge and shipping for each enabled destination
Defect processEvidence required, reporting deadline, and available remedy

Use the chosen product’s artwork specifications. A file prepared for another item may be cropped or scaled differently. Keep important details inside the stated safe area.

Use a sample to decide whether to publish

Order the same blank and print method you will sell. Compare it with your listing promise: is fine text readable, is the illustration placed correctly, and is the material acceptable? For a washable item, follow the care instructions and inspect it again.

If the sample is weak, adjust the artwork or change the blank before listing. A mockup cannot establish print quality. Photograph the sample so the customer can inspect the result you have actually checked.

Plan the cash needed before the payout

Suppose production costs $11 and supplier shipping costs $5. Five orders require $80 for fulfilment. That money may be charged before the related Etsy funds become available. This example describes cash timing, not a verified supplier price.

Also calculate each destination separately. If you charge the buyer $4 for delivery but pay the supplier $7, the $3 gap reduces the amount left by the order. “Free shipping” moves that cost into your item economics; it does not remove it.

Audit the connection before enabling automatic fulfilment

TestPass condition
Size and colour mappingEach Etsy variation points to the exact supplier variant
Order approvalYou know when an order becomes chargeable and enters production
Personalisation, if offeredThe customer’s text reaches the correct production artwork
TrackingYou know how dispatch information returns to the Etsy order
Delivery informationProcessing and transit estimates reflect the selected production route

Where the integration supports manual approval, review the first orders before releasing them. Check the artwork preview and shipping address; do not assume a successful connection means every variation is mapped correctly.

Prepare one response for each fulfilment failure

For a damaged or incorrect print, collect the photos and order details the provider requires. For a delivery delay, check production status and tracking before giving a new date. Your provider’s reimbursement policy and your obligations to the customer are separate; understand both before publishing.

Define a buyer before expanding the catalogue

Choose a recognisable buyer and use: for example, an original illustrated tea towel for people who bake at home. Decide why that design belongs on that product. Fine linework may work differently on a towel than on a smooth poster.

Start with one design direction and a small selection of workable variants. Every size, colour, and destination adds a fulfilment detail to verify. Uploading the artwork onto twenty unrelated blanks does not establish that any of them produces a good customer result.

Use original or appropriately licensed artwork. A supplier accepting a file is a technical upload check, not confirmation that you hold the rights to sell it.

Prepare artwork at the final print size

Use the exact product’s file guidelines for dimensions, safe areas, resolution, accepted formats, and colour profile. Printful’s guidance, for example, specifies product-dependent resolution and recommends sRGB for its uploaded print files. Other providers may differ.

Pixel dimensions and physical print size work together. A 1,800-pixel image printed 12 inches wide has an effective resolution of 150 pixels per inch; at 6 inches wide it has 300. Changing a metadata label to “300 DPI” does not create the missing detail when the image is stretched.

Use transparency when the design should have no rectangular background, in a format that preserves it. Inspect edges and remove template guide layers before export. Treat a preview warning as something to resolve before production, not something the customer should discover on the garment.

Compare print methods through the sample

Direct-to-garment, transfer printing, embroidery, and all-over printing are different production techniques. Suitability depends on the blank, artwork, texture, and provider. Do not assume a design prepared for one technique can be moved to another without adjustment.

Evaluate the sample in ordinary lighting as well as close-up. Small text, thin lines, saturated colours, and pale designs on pale material can look different from the screen. For the tea towel, inspect the design against the fabric texture and check the usable dimensions.

If the sample passes, keep its product specification and artwork version with your listing records. Changing the blank or production route later can change the outcome even when the artwork stays the same.

Make delivery and returns operational decisions

Separate production time from carrier transit time when explaining delivery. A dispatch estimate is not an arrival date. Review what happens when an item is unavailable, a parcel is delayed, or a customer supplied an incorrect address.

For defects, record the provider’s reporting window and evidence requirements. For a wrong size chosen by the buyer, check the provider’s policy separately from your shop’s customer obligations. A supplier declining reimbursement does not itself decide what you owe the customer.

Prepare a practical response sequence: identify the order, inspect the relevant evidence, check production or tracking status, contact the provider when necessary, and update the buyer with the next action. Avoid promising a refund or replacement that depends on an unchecked supplier rule.

Launch with a controlled order flow

Connect Etsy and your provider, then inspect variant mapping and approval settings. Where a manual review option is available, use it until you have seen the order data and artwork move correctly through the integration.

For personalisation, decide who prepares the production file and how you catch spelling or layout errors. The customer entering text into Etsy does not automatically establish that the final print file contains the right text in the right position.

Check the selected product, colour, size, artwork preview, shipping address, and provider charge before releasing the first orders. Keep a record of the actual cost and delivery experience rather than relying only on an advertised starting price.

When should you add another product?

When the current item produces a satisfactory sample, workable contribution, and a reliable order flow. Then test one related item with its own specifications. Sharing a design does not eliminate the new product’s sample and mapping checks.
